Ten Steps When Working With Vacations To Remember

Before working with Vacations To Remember:

Step 1 - Is it time for vacation? Let’s Get Started!! We begin with a short travel request form so we know who you are, when and where you want to go and who might be going with you and why. It is quick, easy and painless, we promise! 

Step 2 - Once we receive your request and take the time to review, an email will be sent to you within 1-2 business days letting you know what our cost will be for the research & design of your vacation and who your travel advisor will be. Our Research & Design fees vary depending on many factors so we send a personalized email to everyone that contacts us with their cost. The travel advisor assigned to planning your vacation is an expert on the part of the world that you want to visit, so you can feel confident you’ll be in excellent hands. 

Step 3 - After you review the details of that email and are ready to move forward, you can either schedule a discovery call with us to ask questions or simply click a link in the email to let us know you are ready to hire us and start the planning process. 

Step 4 - With your approval, we will email the invoice for our fee and once paid, you get on our planning calendar within 2-3 business days and are connected with your travel advisor. She may send you a deeper dive questionnaire or an email to get to know you better or you can schedule a phone call to discuss specific details of your trip. This is the fun part! 

Step 5 - Once the research & design of your vacation is complete, we send a first proposal for you to review. This typically comes within 2-5 days after your travel advisor begins working on your trip and is definitely not the final product (unless you love it and many people do love the first draft!). From here, you can send feedback, ask for edits and tell us what you love or want to change. We will continue to revamp until it is perfect for you. Don’t worry - you have us on a planning retainer for 30 days so there is plenty of time to review and revise. We want you to be completely happy with the end result!

After you approve the final product:

Step 1- Our team will book all of the components of your trip. Flights, transportation, hotels, trains, tours, etc. Anything needed to make your trip complete, we can handle (within reason), but if you prefer to book some of the components on your own, that is fine too! (Please be advised that we can not book anything with points and we do not work with home rentals like Airbnb or VRBO.) We can also assist with restaurant reservations and certain show tickets for an additional concierge fee. Please ask your travel advisor for more information on this. 

Step 2 - After confirming everything, we send you a trip invoice to review and if you approve, deposit is due within 24 hours of receipt (unless stated otherwise). That invoice will also advise when the balance due date is but we will send you a reminder about week prior. Then you are done for a while, but we keep working behind the scenes to make sure all is well with what we booked.  

Step 3 - Once your trip is paid in full, we continue to monitor things like flight schedule changes, seat re-assignments and anything else we can to stay on top of the details of your vacation. We fix what we can fix and advise you of any updates. 

Step 3 - About 2-3 weeks prior to your departure, your travel documents will be sent to you via email for your review as well as an email from your travel advisor with a lot of things to know about your trip and what to expect. Please be sure to review all of this as soon as possible and if requested, you can schedule another pre-departure call with your travel advisor to ask questions and go over the details. Sometimes people just need a dedicated block of time for this and we are happy to walk you through it all!

Step 4 - And you’re off!! Once travel begins, you are armed with “24/7 During Travel Department” phone numbers and an email address to connect with our travel partners in the event of an emergency while you are in your destination, but we also remain available to help with anything that might arise while you are away. You won’t be alone! We are here to support and assist in any way we can. 

Step 5 - You experience a vacation we hope you will remember for a lifetime and upon your return (or whenever you are ready), we start the process all over again for next time!
